This Privacy Policy explains what Personal Data we collect, why we collect it, how we use, store, share, and protect it, and what rights you have over it, in accordance with the Digital Personal Data Protection Act, 2023 (“DPDP Act”), the Information Technology Act, 2000 and rules made thereunder, and other applicable Indian law.
This Policy applies to Personal Data collected through our website https://careerkeysolutions.in, resume/profile submissions, job requisitions, email, telephone, WhatsApp, LinkedIn, client portals, and any other official channel through which you engage with our recruitment, executive search, staffing, RPO, HR consulting, HR compliance, or career development Services (collectively, the “Services”).
By accessing our website or using our Services, you acknowledge that you have read and understood this Privacy Policy. Where required under the DPDP Act, we will obtain your explicit consent before processing your Personal Data.

2. Personal Data We Collect
2.1 From Candidates / Job Seekers
Name, contact number, email address, postal address
Resume/CV content: education, employment history, skills, certifications, salary details, references
Date of birth, gender, and other demographic details voluntarily shared for role-matching or statutory compliance
Government-issued identity information where required for background verification (e.g., PAN, Aadhaar reference number for verification purposes only, as permitted by law)
LinkedIn profile data and other professional social media information, where voluntarily shared
Interview recordings, assessment results, and feedback generated during our screening process
Communication records (emails, call notes, WhatsApp messages) exchanged with our consultants
2.2 From Employer / Client Representatives
Name, designation, business contact details
Company information: job descriptions, organizational structure, compensation bands, hiring criteria
Billing and payment details
Communication and engagement records related to the assignment
2.3 From Website Visitors
Technical data such as IP address, browser type, device information, and pages visited, collected through cookies and analytics tools (see Section 8)
Information voluntarily submitted through contact/enquiry forms
We collect Personal Data directly from you, from publicly available professional sources (e.g., professional networking platforms), and, where permitted, from references or background-verification partners you have consented to.
3. Purpose of Processing
We process Personal Data only for specified, lawful purposes connected to our Services, including to:
- evaluate and match Candidates against Client job requisitions;
- share relevant Candidate profiles with prospective employer Clients;
- conduct interviews, assessments, and reference/background verification;
- manage ongoing recruitment, staffing, RPO, and HR consulting engagements;
- provide career development Services (resume writing, LinkedIn optimization, interview coaching);
- process payments and maintain billing/accounting records;
- communicate updates regarding your application, engagement, or Service status;
- comply with statutory and regulatory obligations (labour law, tax law, record-keeping requirements);
- improve our website, Services, and internal operations;
- protect against fraud, misuse, or security threats.
We do not use Candidate or Client Personal Data for purposes unrelated to the above without obtaining fresh consent.
4. Legal Basis and Consent
Under the DPDP Act, we process Personal Data on the basis of:
- Consent: For most Candidate and Client data, we rely on your free, specific, informed, and unambiguous consent, given at the point of submission (e.g., submitting a resume or enquiry form) or through a clear notice describing the purpose of collection.
- Legitimate use: In limited circumstances recognized under the DPDP Act — such as when a Candidate voluntarily provides data for the specific purpose of seeking employment, or where processing is necessary to comply with a legal obligation.
You may withdraw consent at any time by writing to us at the contact details in Section 12. Withdrawal of consent will not affect the lawfulness of processing carried out before withdrawal and may affect our ability to continue providing certain Services (for example, we cannot match you to roles if you withdraw consent to share your profile).
5. How We Share Your Information
We do not sell Personal Data. We may share Personal Data only in the following circumstances:
- With prospective employer Clients: Candidate profiles/resumes are shared with employer Clients solely for the purpose of evaluating the Candidate for a relevant job opportunity.
- With background-verification and reference-check partners: Where a Candidate has consented, to verify employment history, education, or credentials.
- With service providers: IT hosting, email, payroll/HRMS, applicant tracking system (ATS), and payment-processing vendors who process data on our behalf under confidentiality and data-protection obligations.
- With InfoGlobal (our parent organization): For internal administrative, technology infrastructure, and business-oversight purposes connected to the operation of CareerKey Solutions.
- For legal compliance: Where disclosure is required by law, court order, or a competent government/regulatory authority.
- In connection with a business transaction: Such as a merger, acquisition, or restructuring, subject to confidentiality safeguards.
Any third party with whom we share Personal Data is contractually or legally obligated to protect it and use it only for the specified purpose.
6. Data Storage, Security, and Retention
6.1 Security Measures
We implement reasonable technical and organizational safeguards to protect Personal Data against unauthorized access, alteration, disclosure, loss, or misuse, including access controls, restricted internal access on a need-to-know basis, secure storage systems, and staff confidentiality obligations. - Candidate profiles: Retained in our database for potential future role matches, unless you request erasure, and subject to periodic review.
- Client engagement records: Retained for the duration of the engagement and thereafter as required for accounting, legal, or dispute-resolution purposes.
- Financial/billing records: Retained as required under applicable tax and corporate law.
Upon expiry of the applicable retention period, or upon a valid erasure request (where no overriding legal obligation requires retention), we will delete or anonymize the Personal Data.
6.3 Data Location
Personal Data is primarily stored on servers located in India or with reputable cloud service providers. Where data is processed or stored outside India by a service provider, we take reasonable steps to ensure it remains protected consistent with this Policy and applicable law.
7. Your Rights as a Data Principal
Under the DPDP Act, you have the right to:
- Access: Request a summary of the Personal Data we hold about you and the processing activities undertaken.
- Correction and Updating: Request correction of inaccurate or incomplete Personal Data.
- Erasure: Request deletion of your Personal Data, subject to our legitimate retention obligations (e.g., ongoing engagements, legal record-keeping requirements).
- Withdraw Consent: Withdraw previously given consent at any time, as described in Section 4.
- Grievance Redressal: Raise a complaint regarding our handling of your Personal Data (see Section 11).
- Nominate: Nominate another individual to exercise these rights on your behalf in the event of death or incapacity, as permitted under the DPDP Act.
